Line Items

Overview

Line items represent the individual components of a case, detailing the specific products or services required. They are essential for managing the financial aspects of a case, including pricing, invoicing, and inventory tracking. Line items are created when you add products to a case. Each line item corresponds to a specific product and includes details such as quantity, rate, discount, and tax amount. The line items collectively determine the financial outcome of the case, including the total amount invoiced.

Here's a video overview of how to manage line items:

Setup Options

Pilot provides lots of product behaviors, making entering products easy. The product behaviors will determine how line items work. Here is a mapping of behaviors:

  1. Taxable. Determines whether Pilot needs to calculate tax for that product.
  2. Allow Rate Change. Determines whether a line item's product rate (a.k.a., unit cost) is adjustable. If on, the "Rate" column box on the line item is enabled.
  3. Allow Shades. Determines whether a line item can have a shade. If on, the shade and stump shades input boxes for the line item will be enabled.
  4. Allow Discount. Determines whether a line item is discountable. If on, the individual discount box will be enabled on the line item and the line item will be shows in the bulk discount dialog.
  5. Both Arches Only. Determines whether this product is counted as having quantity 1 for both arches. If on, it will automatically make quantity equal to 1 and notation will be "Upper, Lower" without the ability to adjust it.

First five product behaviors

  1. Bridge Notation. Determines whether "A" (abutment) and "P" (pontic) notation is allowed to be entered for a product.

Bridge Notation

  1. Allow Custom Price. Determines whether this product's price is allowed to be customized on a per-doctor basis. Sometimes, the price for a product will be consistenyly outside of the set pricelists but only for specific clients. If on, this product will appear on the list to be selected for custom price creation.
  2. Quantity Type. There are 3 options available:
    1. Tooth Selection. This setting makes products only have units with numbers 1-32 in UNN notation. Combine with Bridge Notation for bridges. The quantity will be disabled because it's synced automatically based on the number of teeth selected.
    2. Arch Selection. Gives ability select Upper and Lower arches. There can only be 1 upper and 1 lower arch selected, so the maximum quantity is 2. The quantity will be disabled because it's synced automatically based on the number of arches selected.
    3. Custom. Enables the quantity field. Quantity is not synced to notation. This is useful for precious metals and custom appliances.

Remakes

If your case has a remake connection to another case, you can select the line item and click on "Remake" options button.

In there, you can:

  1. Specify whether this line item is a remake or not.
  2. Specify a remake reason
  3. Specify which product is being remake
  4. Specify which units are being remade.
